Job Purpose and Impact
The Clinic Admin Officer is responsible for overseeing the efficient day-to-day operations of the plantation clinic through effective administrative management, service coordination, and healthcare support activities. The position is critical in ensuring the delivery of quality medical services to employees, supporting workplace health initiatives and maintaining compliance with company standards and applicable national health regulations.
Key Accountabilities
- Manage and maintain employee medical records accurately and confidentially and prepare daily, weekly and monthly patient visit reports.
- Maintain and archive medical documents in compliance with privacy standards and occupational health regulations.
- Coordinate and arrange schedules for doctors and medical personnel according to operational needs.
- Organize periodic health examinations, including Medical Check-Ups (MCU), vaccinations, and health screening programs.
- Collaborate with HR and plantation management regarding specialized healthcare service requirements.
- Support the implementation of occupational health programs, including health education, first aid (P3K) training, health awareness campaigns and assist in the documentation and reporting of Occupational Health and Safety (OHS/K3) activities.
- Actively participate in preventive and promotive health initiatives within the plantation environment. Ensure all clinic operations comply with company Standard Operating Procedures (SOPs) and national healthcare regulations.
- Support internal and external audits related to healthcare services and prepare compliance reports and supporting documentation for legal and administrative purposes.
- Provide recommendations to management for improving clinic services and operational effectiveness.
- Ensure the availability of medical equipment, medicines, and clinical supplies. Conduct regular inventory checks, including monitoring stock levels and medication expiration dates.
- Prepare examination rooms and maintain the cleanliness, safety, and comfort of clinic facilities
Qualifications
- Diploma (D3) or Bachelor’s Degree (S1) in Administration, Healthcare, Management, or a related field.
- Preferable 2 years of experience in a clinic, hospital, plantation healthcare unit, or a similar healthcare setting.
- Proficiency in clinic management systems and Microsoft Office applications (Word, Excel, and PowerPoint).
- Basic knowledge of medical terminology and occupational healthcare service processes.
- Strong communication, organizational, and attention-to-detail skills, with a customer-focused approach.
- Ability to work independently with minimal supervision as well as collaborate effectively within cross-functional teams.
