Job Purpose and Impact

The Payroll Specialist job performs moderately complex payroll processing tasks to support the team in the smooth delivery of a high quality payroll process, including the reconciliation of payroll records, legislation compliance and data verification and administration. Under limited supervision, this job ensures accurate payroll process execution and compliance of payroll processes. This job also advises on local technical payroll regulations.

Key Accountabilities

  • PAYROLL COMPLIANCE EXECUTION: Implements payroll process adjustments based on new regulations to ensure payroll processes meet legal and fiscal requirements and that payroll records are aligned to guidelines.
  • PAYROLL RECORDS MAINTENANCE & DATA QUALITY ASSURANCE: Verifies and reviews payroll data, ensuring the accuracy of data for essential payroll variables such as employee salaries, bank accounts, and addresses for new hires and terminations, and that payroll variable elements are aligned with the organization's policies.
  • COMMUNICATION: Provides counseling and advice on local technical payroll regulations to support the organization's compliance and identifies employee concerns that require further support.
  • PAYROLL ADMINISTRATION: Executes various moderately complex payroll process tasks, including coordinating the submission of required reports, running post payroll reports for third party companies, tax filing and reconciliation, preparing and distributing paychecks or direct deposits, generating payroll reports, ensuring reconciliation of payroll records, responding to employee inquiries regarding their pay, and resolving exceptions and errors.
  • PAYROLL COMPLIANCE: Conducts research of payroll related laws and regulations to help monitor and manage compliance of the organization's payroll process.
  • CONTINUOUS IMPROVEMENT: Analyzes current payroll processes, maintains awareness of industry trends and best practices, and identifies opportunities to improve the organization's methods and control implementation.
  • VENDOR MANAGEMENT: Supports partnering with key vendors and stakeholders to stay updated on the latest technologies, tools and methodologies, and helps identify opportunities to integrate them into program design and delivery.

Qualifications

MINIMUM QUALIFICATIONS

  • Diploma/Certificate or bachelor’s degree in Payroll or in a related field
  • Minimum requirement of 2 years of relevant work experience. Typically reflects 3 years or more of relevant experience.
  • Payroll compliance practitioner (PCP) designation or working towards it
  • Proficiency in Microsoft Office
  • Excellent analytical skills, with ability to multi-task under tight deadlines
  • Must be legally entitled to work for Cargill in Canada

PREFERRED QUALIFICATIONS

  • Five years of Canadian payroll processing experience
  • Experience with ADP GlobalView Payroll System
  • Bilingual English and French
