Job Purpose and Impact

The Office Services Project Coordinator will manage key projects, vendors, maintenance activities and services, will arrange events logistics, provide guidance, perform onboarding, offboarding meetings and support the Office Management team in execution of standard office activities.

Key Accountabilities

  • Manage the commercial lease and evaluate different options for the future, in collaboration with the office Director, the Cargill Real Estate Department and the Broker selected by Cargill, which includes the search for premises to rent, the renewal of the lease or the restructuring of the lease.
  • Lead, list and streamline service provider contracts to ensure service performance meet the requirements and negotiate and renew related leases or services terms, tender, negotiate new contracts and optimize costs, maintain relationships with external providers and participate in specialized meetings.
  • Support the Office Management team in execution of standard office activities, e.g.:
    • Define, improve and implement policies, procedures and measurements in their relationship with internal customers.
    • Lead all aspects of related services to ensure efficiency, health, safety, compliance and continuity in business operation, if necessary, update of DUERP (professional risk assessment document) and manage the office access control system.
    • Monitor effectiveness of current procedures and provide suggestions to continuously improve efficiency and productivity, planning and supervision of installation and maintenance activities.
    • Oversee budget and capital and expenses which includes analysis of all costs, including fleet management.
  • Independently solve moderately complex issues with minimal supervision, while escalating more complex issues to appropriate staff.
  • Other duties as assigned.

Qualifications

Minimum Qualifications

  • Bachelor’s degree in a related field or equivalent experience.
  • Minimum one year of directly related work experience.
  • Other minimum qualifications may apply.


Preferred Qualifications

  • Good communication skills.
  • Experience of facility management in High-Rise Building.
  • English: B2 level.
